Business Systems Analyst

Position Overview:
This role is responsible for leading the strategic management, deployment, maintenance, and lifecycle governance of organizational hardware assets to ensure operational reliability, security, and compliance. The position serves as a bridge between business and IT teams, driving hardware deployment initiatives, vendor coordination, asset recovery, and continuous improvement through data-driven reporting and process optimization.
Duties:
Collaborate with IT support teams, procurement, and business stakeholders to define hardware standards, requirements, and deployment strategies aligned with operational objectives.
Translate user needs and operational constraints into detailed deployment plans, system specifications, and implementation schedules.
Lead the planning, scheduling, and execution of large-scale hardware deployments, upgrades, and replacements while minimizing disruption to business operations.
Track hardware deployments and validate proper asset assignment, configuration, and documentation for operational visibility and audit readiness.
Serve as the primary point of contact for hardware break/fix incidents by triaging issues, coordinating repairs, managing escalations, and verifying successful resolution.
Develop and maintain maintenance frameworks, service level expectations, and processes for identifying recurring hardware issues and driving root-cause remediation.
Manage vendor relationships for warranty services and hardware repairs, ensuring service quality, contractual compliance, and cost effectiveness.
Define and document technical requirements and operational workflows for hardware maintenance processes integrated with ITSM and ITAM systems.
Lead asset recovery and secure data sanitization processes during employee offboarding, ensuring proper collection, inspection, wiping, and disposition of hardware assets.
Partner with HR, IT, and department leaders to maintain and improve hardware offboarding procedures and ensure timely asset return.
Maintain detailed records of asset condition and disposition while addressing missing, damaged, or non-compliant equipment through remediation processes.
Design, implement, and manage a scalable loaner-device program, including policies, inventory controls, provisioning procedures, and return workflows.
Ensure loaner devices are properly configured, security-hardened, tested, and ready for issuance to minimize user downtime.
Manage hardware assets across the full lifecycle including acquisition, inventory tracking, maintenance, refresh cycles, decommissioning, and secure disposal.
Establish lifecycle policies, refresh schedules, and retention standards aligned with IT asset management best practices and operational requirements.
Oversee secure device disposal and recycling activities, ensuring proper data destruction and adherence to environmental compliance standards.
Serve as the subject-matter expert for hardware-related functions within ITAM, CMDB, and ITSM platforms, defining system enhancements and functional requirements.
Author functional design documents, process flows, configuration specifications, and operational runbooks supporting asset management systems and integrations.
Generate reports, dashboards, and analytics on asset utilization, deployments, break/fix trends, lifecycle status, and offboarding performance.
Analyze operational data to identify opportunities for cost reduction, process improvement, and enhanced hardware reliability.
Ensure hardware management practices comply with organizational policies, security requirements, and applicable regulatory standards.
Develop and communicate hardware governance policies and procedures while providing stakeholder training and operational guidance.
Facilitate collaboration between business units and IT teams to gather requirements, align priorities, and ensure implemented solutions meet organizational needs.
Provide subject-matter expertise during audits and support remediation activities related to asset management or compliance findings.
Required Skills:
12+ years of progressive experience in IT Asset Management, hardware lifecycle management, IT operations, or related technical roles.
10+ years of experience working with ITSM, ITAM, or CMDB platforms (such as ServiceNow ITAM, Ivanti, Flexera, or Lansweeper) with the ability to develop functional design documents and configuration specifications.
Proven experience defining system scope and translating business requirements into technical and operational processes, including the creation of functional specifications and operational runbooks.
Demonstrated experience in vendor management, including warranty coordination, service oversight, and negotiation with third-party service providers.
Strong experience designing operational processes, managing organizational change, and leading cross-functional initiatives through the full lifecycle from requirements through implementation and support.
Advanced proficiency in Microsoft Excel and reporting tools, including the ability to build dashboards and analytics to support operational decision-making.
Hands-on experience supporting data reconciliation, asset inventory audits, and initiatives to improve data accuracy and quality within asset management systems.
Excellent stakeholder engagement, communication, and facilitation skills with the ability to build strong relationships between business and IT teams.
Experience with security and data sanitization standards, including secure device wiping and disposal processes, as well as familiarity with environmental compliance practices.
Bachelor’s degree in Information Technology, Information Systems, Business, or a related field, or equivalent combination of education and professional experience.
Professional certifications such as ITIL (v3 or v4), CompTIA A+, CISSP, Certified IT Asset Manager (CITAM), PMP, or equivalent industry certifications.
